Customer, Item & Vendor Sync

Start with the records you already use.

Keep a service request connected to the right customer and the right items. Import the accounting foundation first, then connect your shared records so everyday changes do not become another round of duplicate data entry.

Job-Linked Invoices & Accounting

Create the invoice once. Keep the service details together.

Prepare the invoice against the job, including the customer, services and supporting attachments. Your team can preview the bill before saving it, then use the connected customer and items for the QuickBooks handoff.

Payment Updates & Outstanding Balances

Know what is paid and what still needs attention.

Bring recorded payments back into the service workflow, so the office can check the amount received and the balance still due. A part-paid invoice stays distinct from a fully paid one, helping your team follow up with the right context.

Purchase Bills & Job Expenses

Keep the cost of delivering the work in view.

Customer billing is only one side of a service job. Where purchasing and expense modules are enabled, keep supplier charges and job-related costs connected to accounting instead of leaving them in a separate spreadsheet.

DreamzCMMS VEDA for Field Service

Bring the service context into the finance conversation.

When someone asks what work was done, VEDA can help your team find the service history and prepare a clear explanation. Use the records in DreamzCMMS to support the conversation, while your finance team remains responsible for the books.

Find the context Review available maintenance and equipment history.
Explain the work Turn completion notes into a clear service summary.
Prepare a follow-up Draft customer wording for your team to review.

QuickBooks Integration FAQ

Questions about data, sync and accounting workflows.

What does the DreamzFSM QuickBooks integration do?

It connects field service records with accounting, reducing repeat entry of customer, invoice and payment information. DreamzFSM manages the service workflow while QuickBooks remains the accounting system.

Does it work with QuickBooks Online and Desktop?

The DreamzFSM offering includes Online and Desktop. The detailed data flows illustrated on this page are documented for QuickBooks Online. Confirm the supported Desktop edition, connector and sync coverage for your business.

Can I keep my existing QuickBooks customer data?

Yes. Existing customer data can be imported rather than rebuilding the list. Confirm the invoice and payment-history import scope for your version before migrating older records.

Which records sync in both directions?

For QuickBooks Online, Customers, Items and Vendors are documented as two-way. Other record types have specific directions; do not assume every transaction updates both ways.

What needs to sync before customers, items and invoices?

Import the Chart of Accounts and Tax references from QuickBooks Online first. These provide the accounting foundation for the records and transactions that follow.

How are sales invoices sent to QuickBooks?

In the documented Online workflow, save an invoice in DreamzCMMS using a linked customer and linked items. Check its QuickBooks sync status and QB ID to confirm the handoff.

How quickly do QuickBooks payments appear in DreamzFSM?

The Online guide provides a manual payment refresh or an automatic scheduler running approximately every 30 minutes. Timing depends on your settings; a new payment may not appear until the next refresh.

Can I track a partial payment and the remaining balance?

Yes. A partial or full payment recorded in QuickBooks Online updates the paid amount and remaining invoice balance after the payment sync runs. Review the Payment Log when you need the transaction detail.

Do purchase bills and job expenses connect too?

In the documented Online workflow, DreamzCMMS purchase invoices become QuickBooks bills, and expenses are posted as journal entries using configured debit and credit accounts. These flows depend on the modules and mapping enabled.

Does a successful sync mean an invoice is reconciled?

No. Sync links or updates records; reconciliation is a separate finance check against the actual payment. DreamzFSM provides a Reconcile Invoice action, including selection of multiple invoices for review.

Can the Online integration be tested before using live records?

Yes. The configuration supports Sandbox and Production environments and a Test Connection step. Use test data to check your connection and mappings before working with live accounting records.

What does VEDA add to this workflow?

VEDA can help explain the service behind an invoice using available maintenance history, completion notes and customer-ready wording. Its output should be reviewed; this page does not claim automatic QuickBooks bookkeeping or reconciliation.
