What is invoicing and payment collection software?
Invoicing and payment collection software connects customer bills with payment records and outstanding balances. In a field sales workflow, it lets reps prepare invoices while the office follows receipts and unpaid amounts. DreamzFSM brings these steps together with customer and sales-order context.
Can sales reps create and preview invoices on mobile?
Yes. The Field Sales mobile app lets a rep create an invoice, select the customer and address, add billable items, and use Preview to view the invoice. Notes, files, signatures and notification options are part of the documented mobile workflow.
Can an accepted sales order be converted into an invoice?
Yes. After the approved sales order is accepted, use Convert to invoice. The billable items carry into the invoice form for review. Select the payment method and amount, then save the invoice or use Save and send Payment link.
Can we reuse item and service templates for invoices?
Yes. Service Templates store a named set of items or services for reuse in quotations, sales orders and invoices. Start with the relevant template, then check the quantities and billable details against the current customer requirement.
Can we send a customer a payment link?
Yes. The order-to-invoice workflow includes a Save and send Payment link option. Hosted payment links are also documented for configured payment integrations. Check the invoice and requested amount before sharing, and verify the payment result separately.
Which online payment methods are available?
The available methods depend on the payment integration enabled for your business. The documented hosted-payment workflow includes card and ACH options, but availability must be confirmed for your merchant setup and region. Agree supported methods and any provider charges before rollout.
How do we record cash or other offline receipts?
Use the offline payment-receiving option in Accounts Receivable, link the receipt to the invoice number and save the transaction. Here, offline payment means money received outside the online payment flow; it is not a guarantee that the mobile app can process payments without connectivity.
Can we see the amount paid and the remaining invoice balance?
Yes. The Pending Invoice Report shows invoice amounts, payments made and balances due. For example, a $780 invoice with $300 recorded against it leaves $480 outstanding, before any other adjustments. Confirm any installment or deposit process separately for your deployment.
How can the team follow up on unpaid invoices?
Use outstanding balances and due dates to prepare the next customer conversation. DreamzFSM also lists automated payment follow-ups on its Field Sales page. Confirm the reminder timing, recipients and notification setup for your process rather than assuming a fixed sequence.
Can we email a customer statement?
Yes. Accounts Receivable includes a customer payment and pending-pay statement, with an option to forward it by email. Review the customer and invoice information first so the statement explains the current collection position.
Can payment and outstanding-invoice reports be exported?
Yes. Payment Details and the Pending Invoice Report offer Excel and PDF exports. Payment Details covers receipt references, dates and methods; Pending Invoice reporting adds invoice balances, due dates and reconciliation status. Choose the report that answers the question your team is reviewing.
Can invoices connect with accounting software?
The Field Sales platform supports accounting-tool integration for invoice reporting. Confirm the specific interface, customer and invoice identifiers, data fields and update rules for your system. Invoice synchronization and bank reconciliation are different processes; validate each part of the handoff during setup.
