Frequently asked questions

Rental quotes, contracts
and billing, explained.

What is rental quoting and invoicing software?

It connects a rental proposal with the agreement, order, invoice and payment record. DreamzCMMS brings those commercial records into the equipment rental workflow, so the team can follow the agreed scope and outstanding balance without rebuilding the same details.

Can I create a quote with equipment, parts, labor and other charges?

Yes. Rental quotations support assets, parts, labor costs and miscellaneous charges. Include the required equipment and supporting services, then check quantities, hire dates and pricing before presenting the quote.

Does the software support daily, weekly and project-based pricing?

Yes. The rental billing offering includes daily, weekly and project-based rates, along with customer- or equipment-specific pricing. Configure the relevant rules and review extensions, extra usage and prorated charges against the rental agreement.

Can I turn a quote into a rental contract and invoice?

Yes. Digital quotes can become rental agreements, and the documented transaction sequence is Quotation, Sales Order, then Invoice. Open the saved and confirmed sales order, choose Add Invoice, review the pre-filled rental details and save.

Can customers approve rental agreements electronically?

E-signature options are part of the contract-management offering. Templates support the terms, duration and conditions of the rental, with contract versions and history retained. Confirm the approval method enabled for your setup.

Can I automate recurring invoices for long-term rentals?

Yes. Recurring billing supports ongoing hire using the agreed duration or usage rules. Set the billing cycle and review any renewal or extension. A future scheduled billing amount is not the same as an issued invoice or a payment already received.

Are installments the same as recurring invoices?

No. An installment is one of several payments against an amount due. Recurring invoicing creates bills for successive rental periods. DreamzCMMS supports both workflows; review which invoices are issued, what has been paid and what remains outstanding.

Can I include taxes, discounts and security deposits?

Yes. The rental billing setup supports configured taxes, discounts, security deposits and custom line items. Keep a refundable security deposit distinguishable from an advance payment toward rental charges, and confirm how each is handled in your configuration.

Can customers pay through an invoice link?

Yes. The rental offering includes pay-now links and payment options such as cards and bank transfers. Available methods, currencies, settlement times and fees depend on the provider and configuration. Sending a link does not confirm a payment.

Can staff create rental quotes and invoices on mobile?

Yes. In the rental mobile app, More includes Quotation and Invoice. Staff can add rental and cost details, and the invoice form can be linked to a job or work order. Invoice codes are generated by the system; saved documents appear in their respective lists.

Can I review unpaid invoices and share billing data with accounting?

Yes. Billing views support paid, pending and overdue status, customer or project filters, and exports. Accounting integrations depend on the enabled connector and mappings. Confirm the records and sync direction needed for your setup; synchronization is not reconciliation.

How does VEDA support rental billing conversations?

VEDA can help retrieve available equipment service history and draft a summary of recorded work. Staff review the source notes and wording before sharing. It does not mean AI approves rental prices, determines tax obligations, collects payments or reconciles accounts automatically.
