Plan vs. Actual Job Costs

Catch the difference.
Understand the reason.

Compare planned costs with the amounts recorded as the job progresses. Look at the categories behind the difference, not just the total. A longer visit, additional materials or an agreed scope change can explain why a result moved away from the original plan.

The question to ask: What caused the extra labor hours and material spend?
Example variance = actual cost minus planned cost. Positive values mean costs above plan.

Job Costing Software FAQ

Questions about job costs,
budgets and margins.

What is job costing software for field service?

Job costing software helps service businesses compare the value of a job with the costs recorded against it. DreamzFSM brings labor, materials and commissions into a job-cost view, with planned-versus-actual comparisons and margin insights.

How is job costing different from estimating?

An estimate sets out the proposed work and price before a customer approves it. Job costing reviews the cost of delivering that work. Comparing the original assumptions with recorded results helps your team prepare future estimates with more context.

Can DreamzFSM track labor, material and commission costs?

Yes. The published job-costing workflow covers employee costs, commissions and material costs from the Price Book. Review which rates and cost inputs are configured for your business before treating the result as the complete cost of a job.

What is the difference between cost and price in the Price Book?

Price is the amount you intend to charge; cost is the amount associated with supplying the service or material. DreamzFSM provides separate Price, Cost and Unit fields, so these values can be maintained distinctly in the service and material catalog.

Can time records be linked to a project and work order?

Yes. During timesheet check-in, you can select the related project and work order and add comments. The record stores the check-in and check-out details. Technicians can also record work duration from an assigned job in the mobile app.

Can I compare planned and actual job costs?

Yes. The job-costing view supports plan-versus-actual comparisons. The documented project reports also show approved budgets and recorded costs. Compare matching scopes and periods, and check that the relevant records have been entered before drawing conclusions.

Is job margin the same as markup or net profit?

No. In the illustrations on this page, job gross profit is revenue minus the recorded costs shown. Margin divides that result by revenue; markup divides it by cost. The examples exclude unallocated overhead, so they should not be read as company net profit.

Do the job-cost figures update as work is recorded?

DreamzFSM describes live cost updates across connected job records. The view still depends on the information your team records and the enabled connections. Check that time and material entries are complete and synchronized before using a number for a final review.

Can technicians add expenses and files from a job?

Yes. The assigned-job workflow in the DreamzFSM mobile app includes expenses and files, alongside services, work duration and completion notes. Confirm how each expense type contributes to the costing view in your configuration rather than assuming every attachment becomes a cost entry.

Which project reports can I export?

The documented All Projects, Project with Total Cost and Project with Total Hours reports provide different views of project records. These project reports include an Excel export option for further analysis or sharing with stakeholders.

Can I use past job costs to improve future quotes?

Yes. Compare the time and materials you planned with those actually recorded on completed jobs. Use the difference to review catalog costs, scope and pricing assumptions. DreamzFSM estimates can use Service Book or Price Book entries and reusable Service Templates.

How does VEDA help with job-cost reviews?

VEDA can help review available service history, summarize completed work and explore recorded maintenance-cost information. It can also prepare a follow-up work order. Its answers depend on accessible records and enabled workflows; your team reviews the output and controls pricing and financial approvals.
