01 / Identifiers & labels

Start with the right label.
Keep one equipment identity.

Connect the physical item to its DreamzCMMS record before it reaches the rental counter. Generate RFID identifiers for selected equipment, or print barcode and QR labels with the details your team needs.

Equipment-linked RFID identifiers
Individual or batch label printing
Item QR and request-generation QR
Configurable label details and preview

Use an item QR to open the equipment record; use a request-generation QR for the configured work-request workflow.

02 / RFID, barcode & QR

Read a batch with RFID.
Scan a label when you need to.

Use a hybrid scanning approach for a mixed rental fleet. RFID supports multi-item reads; barcode and QR scanning provide a direct way to identify a specific label. Both can support the same equipment-handling process.

03 / Check-outs, movements & returns

Make every handoff
easier to verify.

Identify equipment as it leaves, moves between depots or returns from hire. Keep scan results connected to the appropriate rental or transfer workflow so staff can check the physical items against the records.

04 / Stock checks & reports

Know what was found.
Follow up on the difference.

Compare a location scan with the assets expected there. Inventory Inquiry separates found, missing and extra items, giving the team a focused review list instead of a fresh spreadsheet to reconcile.

Batch RFID handling

Register tags and use Bulk Serialization for suitable onboarding workflows.

Barcode and QR fallback

Use visual labels where the supported process calls for a single-item scan.

Configured reader checkpoints

Fixed-reader events can support configured movement or exit checks where the hardware is installed.

Traceable scan records

Review equipment transactions and RFID reports by the relevant location or movement.

Connected systems

Keep container events connected to the rest of the operation.

Match container IDs and trip references across tracking, warehouse, transport, and maintenance systems.

Frequently asked questions

RFID & barcode scanning, explained.

What is RFID and barcode tracking for rental equipment?

It links an equipment identifier to its record, then uses scans to support identification, check-outs, returns and stock checks. DreamzCMMS brings those scan events into the wider equipment rental and maintenance workflow.

How are RFID scans different from barcode and QR scans?

RFID uses radio communication with compatible tags and can read several tagged items within reader range. Barcode and QR scanning need a readable visual label. The appropriate method depends on the equipment, task and configured hardware.

Can I use RFID and barcode labels in the same operation?

Yes. DreamzCMMS supports hybrid scanning, including barcode or QR fallback in supported RFID app workflows. Link the identifiers to the intended equipment records and verify the scan action before deploying the process.

How do I generate RFID IDs for equipment?

Select equipment and use Generate and Export RFIDs to create linked identifiers. Generating or exporting an ID is not the same as encoding a physical RFID tag. Complete tag preparation and check the mapping with compatible hardware.

Can I print barcode and QR labels in bulk?

Yes. Print Tags supports individual or selected groups of equipment. Choose the label type, display details and additional information, then preview the layout before printing.

What is the difference between an item QR and a request-generation QR?

An item QR links to equipment details. A request-generation QR opens the configured work or incident request flow. Choose the QR type for the task rather than assuming every printed code performs the same action.

Can scanning support rental check-outs and returns?

Yes. The rental scanning workflow supports equipment handling during dispatch and return. Identify the equipment, review the selected records and complete the relevant action. A return scan is not itself an equipment-condition inspection.

How do inter-location transfers work?

Use Dispatch and Receive to record assets leaving one location and being received at another against a reference. Move supports internal location changes. Keep employee Allocation and customer rental transactions distinct from location transfers.

What do Found, Missing and Extra mean in an inventory inquiry?

Found items match the expected location inventory and were read. Missing items were expected but not read in that inquiry. Extra items were read but were not expected there. Review these exceptions before changing records or declaring a loss.

Does an RFID tag provide continuous GPS location?

No. RFID identifies tags when a compatible reader detects them. Recorded scan locations and signal-strength searches are different from GPS or telematics. Any GPS-backed workflow needs a separately supported location source and configuration.

What hardware and setup are required?

RFID needs compatible tags, readers and supported devices or gateways. Barcode and QR scans need a compatible camera or scanner. Confirm tag material, equipment surfaces, scanning coverage, connectivity and the enabled app workflow with your implementation team.

How does VEDA help after an equipment scan?

Once equipment is identified, staff can use enabled VEDA workflows to find its available knowledge and service history or draft an inspection checklist. Staff review the output; a scan does not automatically approve equipment, certify condition or authorize a charge.
