Less retyping.
More control over the next step.
Sales order management software brings customer orders, item details, approval decisions and order status into one workflow. For field sales teams, it connects what was agreed during a visit with the work the office needs to review, fulfill and invoice.

Take the order.
While you are with the customer.
Create an order directly from the mobile app or from an opportunity. Select the customer, add products or services and enter the quantities. Keep the customer conversation and the order record together instead of rebuilding the details when you return to the office.
Build the right order.
Check available stock.
Use product or service records to build the order with quantities and prices. Check connected inventory information before agreeing the supply, and use predefined templates for familiar combinations of items. Review what has changed rather than assuming the last order still fits.
Keep the agreed details.
Make the review count.
Convert an approved, accepted quotation into a prefilled sales order. Review the customer details, billing and shipping information, items and supporting notes before approval. Signatures and attachments keep the information needed for the decision with the order.
Keep the order moving.
Carry the detail into billing.
Follow the order status as the sale progresses and keep the customer informed through configured updates. After approval, record acceptance and convert the order to an invoice with billable items carried forward. Review the invoice before saving or sending a payment link.
See one of your customer orders, end to end.
Walk through mobile capture, an item check, approval, acceptance and the invoice handoff using a sales scenario your team knows.
Know the order status.
See the next action.
Use the Sales Order Report to review customers, quotation references, dates and current status. The Sales Representative Dashboard adds monthly order comparisons, helping the team discuss the order book with the underlying records in view.
Example questions for your team’s report review, not automated AI responses. Order values and collected payments represent different records.
Start the review with the same order record.
Give sales managers and the office team a shared basis for the next conversation, status check or customer update.
The order is a handoff.
Keep the whole sales journey connected.
Bring the customer, inventory and billing context around each order rather than maintaining separate versions of the same sale.

Different customers.
One clear order record.
Use the same connected approach for a routine replenishment, an equipment purchase or a service order.
Retail & distribution
Capture an outlet’s replenishment request during the visit. Confirm the products, quantities and delivery details before the office processes it.
Industrial supplies
Turn a customer requirement into a clear itemized order. Keep the product specification and supporting documents with the transaction.
Equipment sales
Carry an accepted equipment quotation into an order. Review accessories, quantities and billing details before confirmation.
Field services
Use an item-and-service template for a familiar customer requirement, then review the scope and agreed commercial details.
Three records.
A clear purpose for each.
Keep the offer, the order and the bill connected without treating them as interchangeable.
Set out the offer
A quotation presents the proposed products, services and commercial terms. Review changes with the customer before carrying the agreed details into an order.
Focus: what is being offeredOrganize the confirmed request
A sales order records the customer’s requested purchase and the details needed to process it. Internal approval and recorded acceptance belong in the order workflow.
Focus: what needs to be suppliedRequest and track payment
An invoice sets out the amount to be billed. Review it against the accepted order and track the payment result rather than assuming creation means collection.
Focus: what is being billed| Document | What it represents | Key details | Typical next step |
|---|---|---|---|
| Quotation | A proposed commercial offer. | Products, prices and terms. | Approve, record acceptance and convert. |
| Sales order | The order to be processed. | Customer, items, dates and decision status. | Review, approve and record acceptance. |
| Invoice | The billing record for the sale. | Billable items, amount and payment details. | Send the invoice and follow the payment outcome. |
Questions about managing
orders from the field.
What is sales order management software?
Sales order management software organizes customer orders, item details, approvals and order status in one place. In field sales, it connects mobile order capture with office review and the next operational handoff. DreamzFSM also connects accepted sales orders with invoice creation.
Can field sales reps create orders from the mobile app?
Yes. Create a sales order directly from the mobile app or from the actions on an opportunity. Select the customer, add products or services and quantities, complete the required fields and save. Live synchronization with the office requires connectivity.
Can an accepted quotation be converted into a sales order?
Yes. After the quotation is approved and accepted, use its conversion action to open a sales order prefilled with quotation details. Review those details, make necessary changes and save. This keeps the order connected with the commercial offer instead of starting a separate record.
Are sales order approval and acceptance the same step?
No. The documented workflow separates order approval from acceptance. The reviewer checks and approves the order first. Acceptance is then confirmed against the approved order before the invoice conversion step. Agree who is responsible for each decision in your process.
Can we use product or service templates for orders?
Yes. Service templates can contain a reusable set of items or services and can be used in quotations, sales orders and invoices. Select the relevant template, then check quantities, prices and the current customer requirement before saving the new transaction.
Can reps check inventory while preparing an order?
Yes. The field sales workflow connects with inventory information, while inventory reports provide item codes, locations, units, availability and prices. Check the current connected stock record before confirming supply. Stock visibility alone is not a reservation or a guaranteed delivery commitment.
Can a sales order include signatures, notes and attachments?
Yes. The order form supports notes, uploaded documents and signature sections for creation, approval and completion. Keep the supporting information needed by the next person with the order, and configure the relevant fields for the workflow your team uses.
Can the team track order status after creation?
Yes. The mobile order view includes pending, completed and canceled orders and supports finding records by customer, date or status. The wider field sales workflow also supports order and delivery updates. Confirm the connected data sources and notifications used for your deployment.
How does a sales order become an invoice?
After order approval, record acceptance and choose the invoice conversion action. The invoice opens with billable items already included. Review the billing details and amount, select the payment method, then save the invoice or use the payment-link option configured for your account.
What is the difference between a quotation, sales order and invoice?
A quotation describes the proposed offer. A sales order records the purchase to be processed through the order workflow. An invoice requests payment for the billable sale. The records are connected, but neither an order nor an invoice by itself proves delivery or payment.
Which sales order reports are available?
The Sales Order Report includes customer details, quotation references, order and service dates, status, and creation information. It can be exported to Excel or PDF. The Sales Representative Dashboard also provides monthly sales order views and comparisons between the current and previous month.
Can order information connect with other business systems?
DreamzFSM connects sales with customer, inventory and invoicing records. For external ERP or accounting systems, confirm the available interface, field mappings and update rules during scoping. Agree which system owns the order status, stock balance and payment result before enabling the connection.
