What is the difference between a lead and an opportunity?

A lead is a contact or enquiry that still needs qualification. An opportunity is a specific potential sale the team is actively pursuing. Use qualification to confirm the need and fit, then maintain the opportunity stage and next action as the commercial conversation progresses.

Can field sales representatives create leads from the mobile app?

Yes. The DreamzCMMS mobile app lets a rep add a lead with a name, company, phone number, address and other details. Reps can open the lead list and review individual records from mobile, keeping the prospect information available between customer visits.

Can I assign a lead owner and share the record with colleagues?

Yes. The lead form includes an owner under Personnel and an option to share the lead with another person. Agree who is responsible for the next response, even when several colleagues are involved, so shared access does not turn into unclear follow-up ownership.

Can we organize leads with our own categories and ratings?

Yes. Lead Category, Lead Industry and Lead Rating masters let your team manage classification values. Custom fields are also available in the lead setup. Agree what each category and rating means before rollout; a business-defined rating should not be mistaken for a verified prediction of conversion.

How do I convert a qualified lead into an opportunity?

Use the lead conversion action and select Convert to Customer & Create Opportunity, then complete the required opportunity details. The documented workflow is available on mobile as well. Creating a customer record at this step does not mean the deal is already won or that an order has been placed.

Can we create an opportunity for an existing customer?

Yes. You can add an opportunity directly for a company already in the system instead of creating a fresh lead for that relationship. This supports a new buying requirement or repeat-business discussion while keeping the opportunity associated with the existing customer context.

Can I schedule sales follow-ups and enable reminders?

Yes. A lead task can include an assigned user, start and end dates, title, notes, contact type and task status. It can be related to a lead and opportunity, shown in the calendar and configured with a reminder. Review these settings when planning the next contact.

Can reps add meeting notes and documents from mobile?

Yes. The mobile lead and opportunity records support notes and attachments. Opportunity files can include a captured photo, an uploaded image or a PDF. Record the important customer requirement and agreed next action so the next person reviewing the deal has the relevant context.

Can we create quotations and sales orders from an opportunity?

Yes. The opportunity workflow provides actions for quotations and sales orders, and mobile supports both. Related quotation, order and invoice records can be viewed from the opportunity. Review pricing, acceptance and approval requirements before progressing the transaction; a stage update is not a substitute for those decisions.

Which reports help managers review the sales pipeline?

The Lead Report covers contacts, sources, status and assigned reps. The Opportunity Report includes stages, probability, expected revenue and next steps. The Sales Representative Dashboard provides opportunity and won/lost views alongside sales-order activity. Review these together, remembering that expected revenue and probabilities are estimates, not booked revenue.
