The Challenge

Kaballero Logística, a delivery and logistics company based in Costa Rica, manages nationwide operations for both business and consumer deliveries.

The company was facing multiple operational challenges:

  • Manual routing and dispatching, resulting in delays and inefficiencies.
  • No real-time visibility of driver activities and package statuses.
  • Time-consuming invoicing and tax reporting processes that required manual GTI submission.
  • Lack of digital proof of delivery (POD) or centralized customer notifications.
  • Limited bilingual support (English–Spanish), affecting driver adoption and communication.

They required a smart, integrated last-mile solution capable of automating every stage — from package assignment to delivery completion — while complying with Costa Rican accounting and tax regulations.

The DreamzCMMS Solution

DreamzCMMS implemented a customized Last-Mile Delivery Platform designed specifically for Kaballero Logística’s operational workflow.
The system combined route optimization, financial integration, and bilingual mobile accessibility — providing real-time control from dispatch to delivery, billing, and payment.

Core Modules Implemented

1. Waybill & Package Management

  • Each delivery order automatically generates a unique waybill number with a scannable barcode or QR code.
  • Packages are validated through mobile scanning and automatically assigned to available drivers.
  • Validation ensures the package is in “Open” status and not already linked to another driver.
  • Once assigned, the job transitions from Open → Assigned → Loaded → Work In Progress → Completed.

2. Route Planning & Driver Assignment

  • The system enables dynamic route creation with optimized paths based on distance, delivery zone, and package priority.
  • The driver mobile app supports step-by-step operations:
    • Scan package to validate assignment.
    • Accept or reject job requests.
    • Define start and end points to create optimized routes.
    • Load packages (scan confirmation).
    • Execute route with real-time progress tracking.
  • Routes are displayed on a live map with GPS updates and route history for audit purposes.

3. Proof of Delivery (POD)

  • Drivers capture digital signatures, images, timestamps, and customer confirmation at delivery points.
  • POD data is synced instantly to the admin dashboard and included in customer notifications.
  • Customers receive an automatic email/SMS confirming successful delivery with a linked waybill.

4. Financial & Accounting Integrations

GTI Integration (Government Tax Interface)

  • Full integration with GTI for electronic invoicing, tax validation, and government reporting.
  • The system auto-generates invoices, validates them via GTI, and receives confirmation receipts.
  • Automatic PDF generation and archiving for audit readiness.
  • Syncs every 5 minutes to ensure real-time compliance.

Onvo Payment Gateway Integration

  • Seamless integration with Onvo allows customers to pay online for delivery fees and invoices.
  • Supports credit/debit card transactions and real-time reconciliation.
  • Payment statuses automatically sync with customer AR reports and GTI invoice records.

5. Bilingual Mobile App (English–Spanish)

  • The driver mobile app includes dynamic language translation (English ↔ Spanish) using Google Translate API.
  • All screens, menus, alerts, and system notifications adapt based on driver preference.
  • Ensures easy adoption by Costa Rican drivers and enhances communication with English-speaking dispatchers.

6. Notifications & Customer Updates

  • Automated notifications are sent via email for:
    • Package pickup confirmation
    • Route assignment

    • Payment receipt or invoice confirmation
  • Both customer and driver receive instant status updates, ensuring transparency.
