To accommodate regulative necessities and manage maintenance activities effectively, the company decided to implement an efficient maintenance management system.
The company deals with recycling wastewater. With the significant increase in demand for pure water, it is necessary to keep all the equipment in the best possible operating condition so that it does not hinder wastewater processing. In the past, the company used a paper-based maintenance system. Data were entered manually, technicians were assigned work orders via phone calls, and no real-time updates could be seen on the maintenance jobs. Due to this, complying with regulations was a challenge. Additionally, the company was unable to track and perform scheduled maintenance on its equipment effectively. This results in unplanned failure, costly reactive maintenance, and unexpected production stops.
As a way to streamline the entire maintenance process, the company decided to implement a maintenance management system. After several discussions and demonstrations, the company chose DreamzCMMS. They used DreamzCMMS to stay on top of preventive maintenance to ensure that their equipment performs continuously and at its best. All maintenance records were stored digitally and in one central location. DreamzCMMS created insight reports based on the data collected. This helped the company to be compliant with regulatory requirements. The prevention of sudden failures and downtime was achieved through the implementation of an effective preventive maintenance strategy. Thus, a great deal of maintenance costs was saved by avoiding emergency and reactive maintenance.
Management needs to onboard all facilities and their equipment into the system for smooth maintenance operations. DreamzCMMS assisted in onboarding the facilities, followed by uploading the equipment. Using bulk upload of spreadsheet with all of the company’s equipment details they easily migrated into system. Each equipment having autogenerated unique QR Code and ID in DreamzCMMS, enabled them to identify and track. Once all equipment and facilities are in place, management will have all the data they need at their fingertips.
Formerly, maintenance activities was manual with a paper-based system. Upon registering maintenance activities, technicians are assigned work orders to perform maintenance activities via phone calls. Because of this, it was nearly impossible to manage and carry out effective scheduled maintenance activities on the equipment. A combination of manual errors and missing paperwork makes it impossible to perform scheduled maintenance activities. In the end, this led to sudden equipment failures, downtimes, and costly reactive maintenance. Lack of maintenance also led to equipment malfunctioning, which made it impossible to maintain regulatory compliance.
Maintenance management activities are scheduled for each equipment based on their meter readings or based on time intervals using DreamzCMMS. Whenever meter readings for equipment surpass a threshold or a period of time exceeds, DreamzCMMS generates work order automatically. Workflow automation enables automatic assignment of the work order to specific technicians. And the technicians can find the notification through their DreamzCMMS mobile apps.
Technicians have to visit the equipment and scan the QR Code to extract all the details, including maintenance related data, to complete the job. Stakeholders can access updates regarding the status of each job in real-time. Since the manager has all the data at his fingertips, he can create work orders as necessary to ensure regulatory compliance and to avoid over or under maintenance. Successful implementation of DreamzCMMS results reduced number of failure and lower reactive maintenance as well by using scheduled maintenance. Also, there is an increase in the company’s production which led to an increase in revenue.
Now that the manager has all the data and insight reports at his fingertips, he can create and assign work orders as necessary to ensure regulatory compliance and to avoid over or under maintenance. Since all the information is at hand, the management is better able to adhere to regulations without affecting productivity and devise strategies accordingly.
