The company with chain of hotels previously logged its work requests and work orders in a spreadsheet, which is essentially a logbook. This resulted in a lack of real-time visibility. By managing the work requests and work orders manually, the company was unable to gain a clear understanding of the actual data. So it was unable to analyze the data, which resulted in the company’s lack of data-driven decisions. In the absence of data-driven decisions, additional costs are incurred. With the help of DreamzCMMS, they boarded all their assets and created floor plans for all their hotels. Floor plan helped them to identify the location of each of the assets. DreamzCMMS enabled them to log work requests and work orders digitally and track them in real-time. Real-time visibility helped them to monitor open & closed work orders and manage their technicians more efficiently.

The company onboarded each of its hotels as a facility into DreamzCMMS, which allowed the company to pinpoint each one on map. After the hotels are onboarded, the assets are onboarded into the system and assigned to the hotels. Additionally, they created separate floor plans for key rooms and tagged equipment such as refrigeration rooms, generator rooms, pump rooms and central air conditioner rooms for each hotel. In the process of creating floor plans, the assets are linked to the rooms and mapped over the floor plan.
Previously, hotel managers manually recorded work requests in spreadsheet-based logbooks. The manual nature of the process makes it very difficult for the management to analyze the data regarding the work requests and the associated work orders due to the lack of real-time data.
By introducing DreamzCMMS, hotel managers will now be able to create work requests. And also the can track the progress using the web and mobile platforms. Managers converted work requests into work orders and assigned to available technicians based on their priority. The technicians then resolve the problem in the work order. And finally finish the assigned job with proof of completion with pictures, notes, root causes etc.
Stakeholders can track work order updates real-time. This allowed the management to have a clear picture of which work orders are open, in progress and pending for each hotel. Management can now generate reports regarding work orders to make more effective management decisions.
There is often an issue with understaffing and overstaffing because there is no real-time data. Some hotels employ more maintenance staff members than necessary. On the other hand, there are hotels that employ fewer maintenance employees than necessary. This led to the hiring of third party contractors where the maintenance staff is low. Therefore this added an additional cost overhead.
With DreamzCMMS’s real-time visibility of the staff engagement, maintenance staff are assigned to the hotels based on their availability. They created a separate maintenance department to supply staff to the hotels where appropriate. In this way, they achieved better staff utilization without the need to hire third party contractors.
