The company with fitness centers, desired to replace the spreadsheet-based system with a digital maintenance management system to streamline the maintenance process and reduce expenses.
The company owns and operates a large chain of fitness centers, Globally. Maintaining fitness equipment is crucial for running the business smoothly. Maintenance requests were previously submitted by each of its centers via phone calls and were managed in spreadsheets. The company also maintained the maintenance work orders for maintenance requests in the spreadsheet. Fitness centers have multiple pieces of equipment which need constant monitoring to avoid any safety issues. Maintaining somany equipment with manual processes is difficult and consumes a lot of valuable time. It was impossible to get a real-time picture of work orders.
The management wanted a way to streamline the existing maintenance process where all maintenance requests could be logged and all work orders would be visible real-time. After several evaluations, the company decided to adapt DreamzCMMS. In DreamzCMMS, they can log maintenance and incident requests for each distribution center and allow stakeholders to track them real-time. With the mobile app, technicians at each location will have the ability to view details of assigned work orders and record their progress, eliminating the need to call for updates. Now, management can view and manage maintenance work orders easily. As a result, no spreadsheets it needs for managing work orders, saving valuable business hours.
As a first step to streamlining the maintenance process, DreamzCMMS enabled the company to onboard all fitness centers. The fitness centers are on boarded easily by providing simple information and tagging them on a map. Each equipment is onboarded onto the system with necessary details like warranty etc. It is then aligned with its respective fitness center. For each onboarded equipment, a QR Code is generated.
A spreadsheet was previously used to record all maintenance requests and corresponding work orders, resulting in the lack of real-time updates of the work orders and their priority. This caused the company to overlook some requests or to respond late in some cases. This created a bottleneck in the operations and customer dissatisfaction.
Through the implementation of DreamzCMMS, fitness center staff will be able to submit requests for maintenance on equipment at their centers. Maintenance manager and a team of technicians at each fitness center handled Maintenance requests. When a staff member raised a request, it notifies the maintenance manager. Either managers can convert the request into work order. Or the work order can be generated automatically if it satisfies any workflow. It prioritized and assigned the technician, who will work on the work order for resolving the issue and updating it into the system. The stakeholders will be able to monitor the progress of the job in real-time, providing improved visibility. To ensure that the management does not miss any requests or work orders, they will be able to access details of all the pending, ongoing and completed requests and work orders.
During work, the technician can scan the QR Code on the equipment to view all relevant details and its maintenance history, allowing him to resolve the issue much faster, resulting in a shorter repair time.
Lack of appropriate scheduled maintenance resulted in accidents caused by defective equipment. This created a scary situation for the customers using those equipment resulting in a significant drop in the company’s customer base and revenue losses.
With DreamzCMMS, the company can plan, create and execute scheduled maintenance tasks at regular intervals. The technicians now involved in checking the equipment regularly and rectifying any problems they encounter. A significant reduction in failures and accidents, as well as an increase in customers and revenue, were the results of this initiative.
Manual registration records make it impossible to track equipment warranties, resulting in the repair expenses of equipment that is still under warranty.
